ABOUT THE ROLE
We are a busy, high-volume vascular surgery private practice in Downey, CA seeking a motivated and experienced Medical Assistant / Surgery Scheduler to join our dedicated clinical team. This is a dual-function role designed for a professional who can seamlessly move between direct patient care and the complex administrative coordination required in specialty surgery. The ideal candidate brings strong clinical floor experience, proven surgical scheduling expertise, exceptional customer service skills, and a genuine commitment to our patient community — the majority of whom are Spanish-speaking.
Vascular and/or dialysis experience is a plus but is not required. What matters most is your ability to learn quickly, communicate clearly, and keep a high-volume practice running smoothly.

COMPENSATION & BENEFITS
- Pay Rate: $25.00 – $35.00 per hour, depending on experience

KEY RESPONSIBILITIES
Clinical & Patient Care
- Room patients: collect and document vital signs, chief complaints, medication lists, and relevant history
- Prepare exam rooms and ensure equipment is stocked, cleaned, and ready between patients
- Assist vascular surgeon with in-office procedures as directed
- Schedule, confirm, and follow up on in-office appointments with accuracy and professionalism
- Provide warm, bilingual (English/Spanish) patient communication at every touchpoint
- Ensure patients understand pre- and post-procedure instructions clearly
Surgical Scheduling & Hospital Coordination
- Schedule surgical cases at hospitals and outpatient surgery centers, coordinating directly with hospital surgery schedulers
- Liaise with OR coordinators, surgical teams, and facility staff to confirm block times, preferences, and case requirements
- Maintain and track the surgical schedule, managing changes, cancellations, and urgent add-ons
- Ensure all pre-operative requirements (labs, imaging, clearances) are completed and documented prior to case date
- Coordinate cardiac clearances, medical clearances, and pre-op evaluations with referring providers — a plus but training provided
Dialysis & Specialty Care Coordination
- Coordinate care with dialysis centers for shared vascular patients, communicating status changes, procedure dates, and follow-up needs
- Communicate with referring nephrologists, cardiologists, and PCPs regarding patient care milestones
- Track referrals and ensure timely follow-up for time-sensitive vascular patients
Authorizations, Eligibility & Administrative
- Obtain prior authorizations for office procedures, diagnostic tests, and surgical cases
- Verify patient insurance eligibility and benefits prior to appointments and procedures
- Maintain accurate and timely documentation in the EHR system (EPIC preferred; training available for qualified candidates)
- Manage fax queues, incoming referrals, and provider-to-provider correspondence
- Communicate with insurance representatives and resolve authorization issues proactively
REQUIRED QUALIFICATIONS
- Bilingual — English and Spanish (read, write, and speak fluently): REQUIRED
- High school diploma or equivalent: REQUIRED
- Minimum 2–3 years of experience in a medical office or clinical setting
- Demonstrated experience with surgical scheduling in a hospital and/or outpatient surgery center environment
- Experience liaising with hospital surgery schedulers and OR coordinators
- Proficiency with insurance authorizations and eligibility verification
- Skilled in patient scheduling, appointment management, and front/back office workflows
- Demonstrated experience taking vital signs and rooming patients in a clinical setting
- Strong customer service and communication skills — in person, by phone, and in writing
- Ability to multi-task in a fast-paced, high-volume specialty practice
- Professional, empathetic, and culturally competent in working with diverse patient populations
PREFERRED QUALIFICATIONS
- Associate's or Bachelor's degree in Health Administration, Medical Assisting, or related field
- Experience in vascular surgery, vascular access, or dialysis-related patient care
- Experience coordinating with dialysis centers and nephrology teams
- Familiarity with cardiac and/or medical pre-operative clearance workflows
- Experience with the EPIC EHR platform
- Medical Assistant certification (CMA, RMA, or equivalent)
WORK ENVIRONMENT
- In-office position at our private practice in Downey, CA — remote work is not available for this role

Pay: $24.09 - $35.00 per hour
